Providence Health & Services Administrative Assistant II in Seward, Alaska
Providence is calling an Administrative Assistant II (Acute Administration, Day Shift, 1.0 FTE) to Seward Mountain Haven in Seward, Alaska. We are a community of caregivers delivering every day on our Mission to provide compassionate care that is accessible for all - especially those who are poor and vulnerable.
In this position you will:
Coordinate and maintain executive(s) electronic appointment calendar using discretion in scheduling and rescheduling, as appropriate.
Interact with executive direct reports and senior management on a routine basis.
Communicate messages, schedule meetings, and disseminate information.
Organize and expedite the flow of work.
Receive and screen communications, transmit detailed information, answer questions, take accurate messages, and keep executive apprised of communications received during their absence.
Prepare drafts and finalize correspondence, reports, agreements, memoranda, and presentations using computer software applications, such as Microsoft Office.
Use initiative to compose responses to routine correspondence.
Work on a variety of assigned department specific projects.
Monitor and track completion of assigned project milestones.
Compile and summarize data, as required.
May participate and assist in budget preparation and financial control activities for assigned area of responsibility.
Manage policy software and point person for most system-wide computer programs
Required qualifications for this position include:
2 years progressive work experience in office adminstration
Advanced knowledge and experience with spreadsheet, word document and scheduling software
Proficient keyboarding skills
Preferred qualifications for this position include:
Experience working with senior or executive level management
Working knowledge of database software

Teams are self-managed, have consistent staffing, and have strong patient to caregiver ratio. Caregivers typically have 5:1 patient ratio and work 12-hour shifts.
